SASDCI Staff - Definition of Duties
Below are the duties and responsibilities of the principal leadership positions.


President
Responsible for planning, organizing, and carrying out responsibilities associated with the role as chief executive officer.


Vice-President
Right hand of the president; substitute in place of the President during his absence. The role is found in one word: service. Service to the president; service to the other club officers; and service to the general membership of SASDCI.


Executive Secretary
Responsible for maintaining SASDCI official records (including bylaws, minutes during meetings, committee reports, roster of of members and their addresses, meeting agendas).


Correspondence Secretary
Responsible for SASDCI correspondence and publications; editor for the newsletter, website, and any correspondence for the public. Collects information for publications. Help treasurer with the collection of membership dues.


Treasurer
Control the SASDCI money, its collection and disbursement; maintain accurate financial records; prepare the budget, present it to the board for approval, and ensure that the Association's activities adhere to the budget; collect membership dues and follow-up on membership registration.

Assistant - assist the treasurer.


Auditor
Examines and verifies the financial books and records of the Association; perfoms audits on accounts and analyzes supporting documents. Responsible for the audits of accounts and records to ensure compliance with standards and regulations. Tracks data changes and investigates the transactions as needed. Submit annual and semi-annual reports to the President and/or Board of Directors.


Business Manager
Responsible for general management and measurement of costs, operations, efficiency and effectiveness and its impact on the Association. Tracks, manage and follows up on business opportunites for the Association. Research facilities, halls, hotels, etc. for events.


Press/Public Relations Officer
Advertise all activities. Arrange the preparation and dissemination of news releases regarding this Association's activities and programs and shall also promote opportunities for members participation. Informs and promotes data for the public (e.g., press releases , memos to vendors, etc.); help foster relationships between the Association and the public; provides information when requested. Collects and solicits information from other staff members as needed; shall provide input to the publications of the Association (e.g., newsletter, web site).

Webmaster
Webmaster - establish and maintain web site; ensure members have access to information regarding the Association's activities, events, finances, projects, etc. The Association's activities are defined as public knowledge.


Sargeant at Arms
Maintain order at meetings and events. Arrange meeting rooms and ensure safety at event locations; maintain Association's equipment and check for adequate supplies at events and meetings. Make sure the banner is displayed, materials are available, ballots are collected, seating arrangements are in place, etc.


Board Member
Responsible for the conduct and management of the Association's affairs (business and administrative). Oversee the management, planning and directions of the Association to ensure that the interest of the Association and its members are served. Provides guidance to management and exercise their business judgement in what they believe to be the best interest of the Association and its members.

Chairperson - leader of the team; cast tie-breaker vote.


Area Coordinators
Responsible for maintaining a list of members (who have indicated williness to volunteer) and contacting members (i.e., emailing or making telephone calls) in coordination with the Association's activities; notifying members of current events and ensuring their presence at the events. For example, coordinate the food menu assigned by area.


Youth Activities Coordinator
Responsible for youth activities; coordinate and plan activities appropriate for our youths. Promulgate information -- new youth laws, local events, auditions, concerts, seasonal activities, etc.


Historian
Responsible for writing the history of SASDCI. Other duties include maintaining a chronological list or archive of documents associated with SASDCI, researching the chronology of our officers (event committees), events, and SASDCI contributions + projects. Information/photos can then be posted on our website (History pages) or presented as a slideshow at an event.
